Parent & Athlete All-Star Program Handbook

 

Welcome To Royalty Athletics!! 

 

Our mission is to emphasize the importance of overall cheer skills, safety, conditioning, tumbling, stunting, teamwork, perseverance, determination, community, and respect, while enjoying the thrill of this sport. Most importantly we focus on the athletes growing, learning, and having fun. All athletes and teams are important to us, from cheer/tumbling classes to our competing teams! We make it our mission to get to know each individual athlete and parent; help them set goals, teach the value of commitment, dedication and teamwork ultimately help each athlete see their dreams become reality. Our goal is to make each team competitive, we strongly encourage to learn lifelong lessons in dedication, pride, teamwork, responsibility, time management and helping others. 

 

This information, handbook/contract, is created to answer any question and address expectations for our upcoming season. This handbook may be used as a guide throughout the season. If you may have questions or concerns that need to be addressed please contact the gym directly call 256-970-7109, text 256-384-8189 or royaltyathleticsllchsv@gmail.com. Royalty Athletics all-stars is under direct supervision of Gym Owner and CEO Nikki Moore. 

 

  It is your responsibility to keep your email current with our office staff. We hope this handbook  will acquaint you with our company policies and answer most of your general questions. All-Star Cheerleading can be an Expensive Sport. Please understand that we make every effort possible to keep costs reasonable. If you are new to all-star cheerleading, we encourage you to take time to research or speak to other parents to learn as much as possible about the sport. In addition to your monthly tuition, you will have uniform expenses, competition fees, coaches fees, music, etc. The list can be overwhelming. Each competition company (Cheersport, Universal Spirit Cheer, WSF, UCA etc…) charge a per person, per competition entry fee that can range from $85 to $200 per cheerleader to enter. This cost is passed along to you as a participant. We offer fundraising opportunities, please take advantage of them! Don't shy away from this sport simply because things are new and overwhelming. Many families raise all fees each season. Stick with it and we guarantee you and your child will make friends for a lifetime! 

All past due balances must be paid prior to your child participating in classes or practices. 

 

DUE BY THE FIRST DAY OF TEAM PRACTICE - 

every cheerleader must have these items on file with our office staff in order to participate: 

1. Birth Certificate (through USASF). 

2. Completed Credit Card or Debit Card Form 

3. Signed Handbook 

4. First Payment Towards Fees (Drafted) - First Month Of Tuition- June 1st for Full Year Teams, September 1st for Half Year Teams 

5. $45.00 yearly registration fee (if not already paid)

 

Once again, WELCOME to Royalty Athletics All-Stars learn, stay, grow! 

Parent Meetings will be held June 1st 12pm - 2pm. Please bring pen and paper. Seating will be limited, so you are welcome to bring a folding chair. All info for the season will be given out. First deposit of $250 due by June 15th. Tuition will be billed June 1st and practices begin the week of June 4th. 

Rules and Regulations:

The following applies to every athlete and family associated with the all-star program. 

 

Sportsmanship:

We hold a high expectation of our athletes at Royalty Athletics. The expectation is to be well mannered as a representative of the program and gym at any event or competition. Any negative behavior towards an individual, team, teammates and coaching staff will result in immediate removal from the program. We want to promote strong teamwork skills and celebrate hard work and accomplishments throughout our entire season. 

 

Expectations: 

  •  Be modest when successful and gracious regardless of placement. 

  • Members of all teams are to show respect for the coaches, fellow teammates, other athletes, parents, judges, officials, and spectators from opposing organizations. 

    • This includes but not limited to sitting outside practice facilities. 

    • Disrespectful attitude, back talking and any form of ill-mannered behavior towards coaches and other athletes is unacceptable and will not be tolerated. 

    • Exhibit good sportsmanship at the gym,outside of the gym, and after all competitions. 

    • Place the well -being of the athlete and teammates before personal desire to win. 

    • Encourage athletes to abide by the rules and respect all other teammates, athletes, coaches, judges, officials & other parents. 

 

All disorderly conduct will be handled directly with the head coach and athlete. Any escalated issues will result in a parent,  gym owner, head coach, and athlete conference if needed. 

 

Academics

We hold high expectations of athletes. As a representation of the program inside and outside of the gym. Student Athletes are expected to maintain 2.0 GPA or a 70 and above. Athletes that are below the academic range will be placed as an alternate for performances and competitions until the grade has improved. Athletes will still be expected to attend all practices.

Gym and Practice

For security reasons the gym door will lock 10 minutes after the start of each practice. Any athlete that is late after that time without notification will be considered absent from practice. More than 3 absences will result in a probationary period more than 5 absences will result in dismissal from the team.  

  1. Athletes will not be allowed phones during practice. Phones will be placed away during practice in a team box. They may check phones during the provided breaks in the event of an emergency please call the gym 256-970-7109.

  2. Throughout the season we will have closed practices. This is for the optimal athlete focus and participation. 

  3. All cheerleading, tumbling, and gymnastics equipment is for the progression of skills and will be used by all athletes and coaches. NO PARENTS ARE ALLOWED ON ANY CHEER FLOORS OR EQUIPMENT. Siblings are not allowed in the practice area unless it is their designated practice time. 

  4. No parent should interrupt a coach or instructor during practice or class. If there is an issue that you need to discuss, please speak with the coach before/after practice, or send an email to further discuss.

  5. If you are running late to practice for any reason, you must call and/or text to inform your coach (256-384-8189)  Band apps must be downloaded by both parents and athletes (if applicable) . 

  6. NO food, gum, candy or drinks are permitted on the cheer floor. Only water & Gatorade are allowed. No food or drinks are allowed on the blue mats!

  7. No cheerleader is allowed to wear any jewelry during practices or competitions. This includes hair jewelry and beads. This is a USASF rule to protect the safety of all athletes. 

  8. No Royalty Athletics cheerleader is allowed to compete with any other all-star program.

  9. The use of drugs, tobacco, alcohol and abusive language is prohibited. This behavior will result in IMMEDIATE dismissal from the Royalty Athletics program. No excuses or exceptions. 

  10. Royalty Athletics has a strict, NO BULLYING policy. Any bullying done by an athlete to another athlete, team, program, or staff member, will be immediately dealt with appropriately, which can lead to an immediate dismissal from the program.

 

Absences:

  1. Absences will be reviewed on an individual basis. 

  2. Anything beyond 3 unexcused absences is highly unacceptable 

    1. Excessive absences may be grounds for:

      1. Change or replacement in competition team routines 

      2. Withholding items or services 

      3. Dismissal from the program 

Excused Absences:

  1. Include but not limited to: 

    1. Death in the family 

    2. School related function that reflects a grade, coaches must know at minimum 1-3 weeks prior to any function to plan accordingly. 

    3. Jobs:

      1. Handled on individual basis 

    4.  A contagious illness with doctor’s note 

    5. COVID-19 ( The following will be mandated by the CDC and will be implemented accordingly): 

      1. All staff and coaches will wear a mask during the duration of their practice. Athletes are not required to wear a mask but are encouraged. 

      2. We will continue the use of hand sanitizer for all athletes following every bathroom and water break. 

      3. If an athlete is exposed to or test positive for COVID, there will be a quarantine period and negative COVID test before the athlete is allowed to return to any practices,

Subject to change! 

Unexcused Absences:

  1. Include but not limited to:

    1. Sickness, without a doctor’s note 

    2. Traffic or long-distance driving. 

      1. Traffic in our area is always a problem, please plan accordingly. 

 

VACATIONS: Please do not schedule any vacation plans over school breaks  and be prepared to have practices and competition during March/April spring break. Vacationing in the summer months is allowed, but you must give your coaches these dates immediately.

Competitions and Performances: 

  1. All parents are expected to sit together in support of all Royalty Athletics teams. 

  2. COMPETITION SHIRTS ARE MANDATORY FOR BOTH PARENTS AND ATHLETES! Parents are required and expected to wear a competition shirt for each competition or performance. 

  3. Parents, relatives, friends and athletes are never allowed to speak to, call, text or e-mail competition officials/judges for any reason. All competition communication will be dealt with directly through gym management and coaches. 

  4. All competitions and performances are MANDATORY. You are financially responsible for every competition on the schedule as well as any performance. 

Social Networks: 

  1. No athlete or parent may post inappropriate / negative messages on Facebook, Instagram, Twitter, Snapchat, or any other social media platform, website and/or message board about Royalty Athletics, another program, or individual. Any posting of this nature will result in immediate dismissal for the program. 

  2.  NO RA team videos and/ or music are allowed to be posted on YouTube or any other website without permission. Including live videos. Violation of this rule or the theft of music is grounds for immediate dismissal. 

Communication:

  1. We will be sending messages via text, Band app, and email to keep the lines of communication open with all parents and athletes. Please make sure all your contact info is up to date. 

    1. Weekly: practice schedules and attire. 

    2. Monthly: due dates, calendars, newsletter, and invoices. 

  2. The Band app notifications MUST be left on at all times for any changes and/or reminders. 

  3. Band apps, group chats or messages are used for information ONLY. Any complaints, concerns or questions should be addressed to Coach Nikki Privately!!!

 

Tumbling:

  1. Each team will have designated tumbling practice separate from their scheduled team practice. 

  2. We do offer extra tumbling classes if needed for $20 a month extra. 

  3. Private lessons are available as well for $60 per participant for 1hr. 

Choreography:

  1. Choreography for all teams are mandatory 

  2. Each athlete must be present to maximize the benefit of each choreography session for any athlete who does not attend these dates will be placed as an alternate or removed out of the choreography. 

  3. All routine/ choreography including dances, stunts, and transitions should be highly protected. 

  4. No copies of music will be given out 

  5. Dates to learn choreography will be given during your first parent meeting. 

 

Skills Camp:

  1. Skills Camp for all teams are mandatory 

  2. Each athlete must be present to maximize the benefit of each skill learned as well as determine levels. Levels are used as a guideline for competition. Any athlete that does not attend these dates may be placed as an alternate or removed.


 

Apparel:

  1.  Each athlete must purchase practice wear and competition uniforms through Royalty Athletics LLC.

    1. Practice Wear (3) sets 

    2.  Competition uniform mandatory 

    3. Team T-shirts (2) *additional shirts will be purchased for national competitions to wear as a team

    4. Tanks (2)

    5. Shorts (2)

    6. Sports bras (3)

    7. Practice Bows (2) black, and purple 

    8. Comp Bow (1) 

    9. Duffle Bag 

    10. Sweatshirt/ Hoodie (2)

    11. Cheer shoes: Nfinity (2 pair- one black and one white) 

    12. Cheer Backpack: Purple Glitter Nfinity backpack 

  2. Practice wear, correct shoes, and hair is required and must be worn on the correct day for each athlete.

  3. No apparel may be altered in design. Unless prior approval by Royalty athletics management. This includes monogramming. 

 

*Failure to wear the proper attire will result in additional conditioning.


 

Additional Info:

  1. All competitions and performances are subject to change 

  2. If a competition is canceled by Royalty Athletics, we will make the decision to replace it with a comparable event or adjust fees accordingly if needed. 

  3. If a competition company cancels, it will be replaced and money will roll over, 

  4. TENTATIVE competition and PERFORMANCE Schedules and FEE DUE DATES WILL BE GIVEN ONCE DATES ARE POSTED BY EACH CHEERLEADING COMPETITION COMPANY. 

  5. RA management reserves the right to dismiss your athlete from the All-Stars program for any of the following reasons (not limited to ):

    1. Inappropriate behavior

      1. This includes behavior from both the athlete and the parents or family of said athlete. 

      2. Inappropriate social media behavior such as bullying, cursing, etc

    2. Excessive absences 

    3. A pattern of tardiness 

    4. Not showing up for a competition or performance (fee will be charged to your account) 

    5. Delinquent payments  


 

USASF: 

Every cheerleader is required to become a member of the USASF organization. A registration fee is required from by the USASF organization to receive a member ID# in order to compete at each competition. Being a member of the USASF organization is important to our organization and you the cheerleader for several important reasons. It is the U.S. All Star Federation, our All Star organization allowing access and the member ID # to each cheerleader who participates in our industry. We are able to track every cheerleader through each competition, registration process, level phase, and above all follow all safety and rule guidelines. ● USASF REGISTRATION FEE All Teams: $49.00 per year (Must register or renew by August 1st, 2022)

 

Additional Fees:

Late to competition or performance: $150 fee for each hour late 

No show competition or performance: $450 fee, dismissal from the program, plus all obligations listed in the Quitting or Dismissal of program section (2 - 4).

Athlete Drop-off and Pick-Up:

Athletes can be dropped off 5-10 minutes before class time. Athletes are Not allowed on equipment until their class has started. They will only be allowed to stretch in designated areas.  Early drop off or late pick up will result in a fee. If any athlete is dropped-off or picked up over 30 minutes the fee will be charged to your account. Unless previously discussed with management or coach in emergency circumstances. Please review Policy in your parent portal. 

 

Financial Obligations:

  1. Parents are to fulfill the financial obligations on time for the entire season.

  2. There is a strict NO REFUND policy.

  3. Tuition MUST be paid through ACH/Debit Card Tuition Withdrawal.

  4. There is a decline fee. 

  5. Extra payments such as uniforms, competitions, bows,etc. Can be paid in cash or through any form of payment offered such as Cash-App, Venmo, PayPal, Zelle, or royalatyathleticsllc.com; however if your payment is not turned in by the due date your card on file will be charged.

  6. No Payment Dates Will Be Extended or Changed.

  7. If you are delinquent 14 days of tuition, choreography, uniforms or competition payments your athlete will sit out of practice until you are up to date. (Keep in mind late fees will be added and you will still be responsible for all payments.

Payments:

  1. It is your responsibility to make all payments on time .

  2. All payments are non-refundable.

  3. Any fee reminders via email or by phone are a courtesy and are not required by gym management. 

  4. Your team bandapp will have due dates and reminders when payments are due. Have your notifications on at all times for those reminders. 

  5. Late fees are acquired after the following posted due dates 

    1. $15.00 on the 5th

    2. $25.00 on the 10th 

 

PAYMENT DUE DATES ALL TEAMS (TBD) Please be sure to adhere to the payment due dates as your athlete WILL NOT be able to participate in any 

Royalty Athletics Allstar practices with an outstanding balance. No child will be permitted to participate in any classes, open gyms, private lessons, etc. with a past due account. No child will be permitted to order merchandise, pick up uniforms, shoes or practice wear with a past due account.

Tuition:

  1. All tuition payments are automatically withdrawn on the 1st of each month through your parent portal online. 

  2. Tuition will be drafted beginning June 1, 2024 and is due the FIRST of each month thereafter. Please make sure you have an updated card on file at all times to avoid any service fees. All other fees are one time fees added together and spread out in payment installments throughout the season. ● A $25 late fee is assessed on all late tuition and Declined Cards 

● An additional $25 late fee is assessed if tuition is not paid by the 5th of each month

 

  •  A 10% discount will be given if tuition is paid in FULL for the 2024-2025 season (June-May) $1,485. Tuition MUST be paid by July 1st, 2022 to receive a discount. 

  • A 10% discount will be given if tuition is paid in half for the 2024-2025 season (June-November) $742.5 and (December- May) 825. Tuition MUST be paid by July 1st, 2022 to receive a discount and will automatically run for the second amount on December 1st .

    • The amounts mentioned above are per athlete/child. The sibling discounts will not be added to the discounted price above. 

 

Sibling DISCOUNT (siblings only) 1st child Full Price, 2nd child 20% off tuition, 3rd child 20% off tuition 4th child tuition is Free

  1. Tuition is drafted through our automatic payment system. Due dates cannot be overridden and changed.

  2. Declined transactions receive a $35.00 insufficient funds fee.

 

Military DISCOUNTS are available for 10%, must have valid ID. 


 

ANNUAL Royalty Athletics REGISTRATION FEE: All athletes - $45.00 per year

Late Fees: 

  1. Please be aware that all alerts concerning delinquent/ past due accounts are a courtesy. Royalty Athletics is not responsible for the reminders of upcoming due dates. Please remain up to date with your account standing. 

  2. Any other RA fees paid after the final due date will result in a late fee of up to $25.00

  3. Athletes will sit out until accounts are up to date. 

Delinquent Accounts:

  1. Failure to meet deadline payments, lack of reasonable & fair communication regarding payments or delinquent accounts will result in one or all of the following:

    1. Withholding services 

    2. Withholding purchased items 

    3. Replacing or moving the athlete in  routines 

    4. Dismissal from the program

 

Quitting or Dismissal From The Program:

  1. If your athlete quits or is dismissed from the program, a $400.00 dismissal fee will be charged for breach of contract. 

  2. A full payment for the remaining tuition based upon the time of dismissal will be charged to your account.  Immediately after dismissal/quitting the program.

  3. You will forfeit any and all money, services, and items previously paid to RA. 

  4. No refunds

 

Includes: 

  • team practices, choreography practice, camps, etc. 

  • Uniforms, practice wear, bows, shoes, shirts, makeup, etc. 

  • All items that may have been paid in full but have not been physically handed to the athlete or parent yet. 

(Additional merchandise varies to include hoodies, headbands, beanies, etc.)

Competitions and Performances:

  1. All competitions and performances are subject to change.

  2. All performances and competitions are MANDATORY

  3. All fees for competition vary according to team, level, and competition company. 

  4. All competition and performance fees Must be paid in advance and promptly upon due date 

  5. At all competitions and performances, athletes and parents Must wear the designated Royalty Athletics Apparel. 

  6. When ALL athletes arrive to the competition or performance venue, they must be in full uniform:

  7. Athletes must remain in full uniform with competition shirt over uniform throughout the duration of the competition or performance.

  8. Once athletes have checked in with their team coach, no parents or family members  are allowed in warm up areas. 


 

RULES ABOUT COMPETITIONS and TRAVEL 

1. Your child is there to compete. He/She will have scheduled practices, meetings, and team functions during the time we are there. These are mandatory. 

 

2. All travel must be paid in full by posted dates. You will receive a calendar with due dates for all travel plans from Ms. Yolanda. 

 

3. ALL PARENTS AND/OR GUARDIANS MUST TRAVEL WITH THEIR CHILD ON ALL TRIPS. The Royalty Athletics staff will not be responsible for chaperoning your child. If you cannot attend for any reason, it is your responsibility to find a parent who is willing to chaperon your child and stay in their room. 

 

4. No child is permitted to leave for an out of state competition prior to the last scheduled practice. All athletes must arrive at an out of state competition by 2 PM the day before the competition begins (unless a different time is stated by your team coach).

 

 5. ALL ATHLETES ARE REQUIRED TO STAY FOR AWARDS FOR THEIR TEAM. 

 

6. Any child who engages in ANY ILLEGAL activity will be immediately removed from the Royalty Athletics  program. This includes any alcohol or drug use, vaping, smoking cigarettes, and/or stealing. If there are any other illegal activities that are not listed the rule above also applies. You are representing Royalty Athletics when you travel to a local or out-of-state competition. We take our reputation very seriously and have worked very hard to be regarded as a respectful program with high morals and ethics. We want to ensure that every child is safe and in order to do this, we must enforce these rules to the highest degree. We expect all cheerleaders and parents to display a high level of sportsmanship at all times. 

 

7. Parent conduct is very important. Our children watch how we react to situations and this could set the tone for the entire day. Please make sure you are representing your child, your child's team and our gym in a positive way. Sometimes things may not go as planned. There are behind the scene events that may take place controlling meet times and location changes. Please be flexible. If you have an issue please address it with a coach or management  and refrain from negative comments to other parents. This brings down our teams and affects performances as athletes do hear everything we say. Keep in mind that we are training children and sometimes mistakes happen on stage. Please refrain from speaking negatively about an athlete, the team or the coaches. If you have an issue we will be glad to set up a meeting with you, your child and the coaches when we return from the competition.



 

Expectations for competitions and performances 

  1. Be on time

    1. Allows athletes and team to focus on competition or performance 

    2. Review counts, stunts, and entire routine

  2. Uniform top and bottom on 

  3. Designated cheer shoes/no show socks on 

  4. Backpack 

  5. Designated hair and makeup 

  6. Competition shirt on top of their uniform at all times 

  7. Warm-ups on 

  8. Royalty Athletics masks (if required)

  9. No jewelry or gum 

  10. No nail polish allowed 

 

Warm-ups are allowed to be worn after awards at competitions or once designated by your coach. Shoes should be worn only inside the venue, a change of shoes is recommended for outside wear. 

 

TRAVEL FEES: 

All families at Royalty Athletics  Allstars are responsible for their own airfare and hotel costs.  Royalty Athletics, will on most occasions, provide a room block and instructions to each family about how to secure these rooms. When planning our travel for the season, we do our best to minimize travel costs by choosing locations that are accessible by most major airlines and by choosing hotels that are affordable. Please also remember that booking airfare in a timely fashion can greatly reduce your travel expenses. In addition, some families do decide to drive to various events rather than fly. When deciding which competitions to attend, a great deal of research is done. Determining factors include other gyms/teams attending, competitiveness of event, cost, date, location, etc. Please know that some additional overnight stays will be incurred due to events. Most of these competitions are in a 1-6 hour radius and are within driving distance. However, many families choose to stay overnight to avoid commuting on both Saturday and Sunday. We want all parents & cheerleaders to be aware that when we travel to an out-of-state competition, the primary purpose of our trip is to compete. While we hope each family will enjoy our trips, they are not intended to be a “family vacation.” No family will be allowed to miss practice times or exhibitions that precede the competition. 

Please understand that you will receive your FINAL travel/competition schedule by November.

Fundraiser:

  1. Fundraisers are designed to help with the cost of fees. Fundraiser money can be used for: merchandise, apparel, choreography, competition fees or private lessons, EXCLUDING TUITION.

  2. Credits may be applied to next season, however if you quit or take a break, YOU  WILL FORFEIT ANY AND ALL CREDITS. 

  3. Fundraiser profit ranges by company.

  4. There  is a CASH only policy for any and all fundraisers. 

  5. Due dates are important in receiving items in a timely manner. 


 

INCLEMENT WEATHER POLICY: Every reasonable attempt will be made to open our doors for business on regular scheduled practice days. However, in the event of severe weather conditions, we will send out an email (or BAND notification) concerning practices and post on all of our social media. It is your responsibility to be sure our office staff has an updated email for your cheerleader at all times. 

GYM HOLIDAYS: We are closed on certain holidays and vacation weeks. These dates will be posted on our social media, website, band app, or email. Please keep in mind that some months have five weeks while others have four. We do not charge extra for the months with five weeks. This allows us to close for vacation and Holidays. Also, during competition season, we add many, uncharged for, unscheduled practices for each team. 

ABSENTEE POLICY: Every cheerleader is required to be at every practice, camp, choreography session and special event. Please note that if you do not adhere to the above rules you can be removed from the squad. Royalty Athletics reserves the right to remove any child from the program because of excessive excused absences as well. If your child is involved in any other activities besides all-star cheerleading, please make sure they will not have conflicts. Starting in September, each cheerleader will receive 2 unexcused absences which can be used at your discretion. Please note that after your 3rd unexcused absences, you will be placed on probation as notification and the 5th missed practice will result in removal from the team. This attendance policy has been put into effect to ensure that all cheerleaders participate with the same amount of commitment level. You may have excused practices throughout the school season but they consist of the following: illness or injury (MUST HAVE A DOCTORS NOTE), school event for a grade (MUST HAVE A SCHOOL NOTE FROM TEACHER ON OR SCHOOL PROGRAM), an unfortunate circumstance such as family death/funeral of immediate. A Royalty Athletics All-star coach or staff reserves the right to remove any child from the routine until recovered, with doctor’s green light.  If they have excessive Doctors notes due to injuries, safety is top priority. Before Skills Camp, you may miss for vacations as long as coaches are notified 1-2 weeks prior via email. We HIGHLY encourage cheerleaders to take vacations during gym closings if possible. Unless vacations are already planned (as we understand camp and choreography dates have not been announced) we do not recommend missing either. Reminder, this is a competitive sport, not recreational. **If any practices are missed the week of a competition, an alternate will be placed in his/her spot and the athlete who missed practice will not compete.
